Privacy and document handling
Updated September 9, 2026. The inquiry notice below applies to voluntary project questions. Paid orders and bid-document submissions are not open; the future document workflow remains proposed.
Project inquiries
We use your email address and the project details you choose to share to answer your inquiry and assess demand. Please send only city and state, roof type, bid count, your question, optional professional role and project frequency, what question or decision the fictional sample helps with, and your optional hypothetical choice between BidHound at $97, your current process, another option or remaining undecided. Do not send bids, street addresses, client names, payment details or identity documents.
Namecheap Private Email handles messages and normal technical headers. OpenAI/Codex may assist with reading and drafting responses within this inquiry process; your own email provider also processes messages. The private operating dashboard receives pseudonymous counts and coded outcomes, not email addresses or message text. We do not sell inquiries, send them to contractors or publish message contents or direct contact details in analytics.
We retain the inquiry while handling your request and assessing the proposed service. Reply to the same thread to stop the conversation or request deletion. We will explain what we have removed and any records that must remain; provider backups and copies controlled by others may persist. There is no automatic marketing subscription.
Proposed paid service: documents and delivery
After the paid service opens and you are invited to send documents, we would use your email address, project city and state, comparison questions and redacted bids to assess the request, prepare the report, deliver it and handle support or refunds. We do not need your Social Security number, payment-card details, bank information, identity documents or insurance claim documents.
For BidHound privacy questions, contact support@trybidhound.com; do not attach bids to a privacy inquiry.
Who processes the information
Namecheap Private Email handles service email and attachments. OpenAI/Codex assists with extracting and analyzing the supplied documents and preparing the report. Stripe handles checkout, payment and refund information. Your own email provider also processes the messages you send and receive. We check report statements and calculations against the supplied documents.
Ordinary email is not an end-to-end encrypted document vault. Provider processing and retention also follow the applicable provider policies. We do not promise that provider backups, sender copies or recipient copies can be erased by us.
What we do not do with your bids
We do not publish your documents, sell them as leads, send them to contractors or include their contents or your contact details in the operating dashboard. Reports use document labels and source references. We do not put customer documents into public web searches.
Working-file retention
The proposed schedule removes rejected or abandoned submission files within 14 days of rejection or the last response. For completed orders, working documents and report copies are scheduled for removal 60 days after delivery. This includes identified mailbox attachments, Sent copies, Trash copies and local processing files under our control.
A documented dispute or legal obligation may require a longer hold. Necessary transaction, consent and refund records have a separate retention requirement and are not covered by the working-file deletion schedule. We will explain any applicable exception when responding to a deletion request.
Corrections and deletion requests
Reply from the email address used for the order and include its reference. We can correct your contact details, assess a deletion request and explain what records remain and why. Do not send identity documents unless a specific, appropriate verification method has been agreed.
